Christchurch Squash Club Administrator Position

27/04/2010 - Christchurch Squash Club is looking for a passionate person to act as a part time club administrator.

The successful person will be organised and efficient, with excellent computer skills and a professional manner, both in person and on the phone. An ability to work independently is essential, and a proven interest in squash would be an advantage. The administrator will be expected to actively assist in generating income to help fund the position.

Salary and hours negotiable.

JOB DESCRIPTION - ADMINISTRATOR

PRIME FUNCTION

The Primary Function of the Club Administrator is to assist in the smooth operation of the Christchurch Squash Rackets Club Inc. to maximise benefits for its members.

KEY TASKS

Administration
• Attend/report to monthly committee meetings
• Distribute minutes of committee meetings, deal with correspondence, etc.
• Liaise with Squash Canterbury and Squash NZ.
• Attend to the day to day organisation of the club.

For Example
- Administer block bookings of courts
- Maintain adequate supplies of pens, score sheets, score cards, etc.
- Replenish kitchen and cleaning supplies (tea, coffee, sugar, milk etc)
- Maintain club noticeboards
- Report minor repairs/maintenance issues to committee
- Bank money as required
• Administer facility hire and Sale of Liquor Act requirements (late licence applications, renewal of club licence etc)
• Organise volunteers for jobs within the club
• Assist and liaise with sponsorship and funding co-ordinators
• Collate and distribute Annual Reports
• Other organisational tasks as required
• Maintain an electronic version of the club manual

Membership
• Maintain member database, ensuring contact details are accurate
• Update and control membership and key-fob tracking system
• Generate membership reports for the committee

New Members
• Liaise with “new member” committee person as required

Bar
• Manage day to day administrative activities associated with the bar. In particular;
- Ensure timely delivery of gas bottles
- Obtain filled kegs
- Take delivery of supplies
- Liaise with the committee bar manager

Communication / Website
• Maintain / update club website
• Maintain e-mail database
• Organise / distribute newsletter
• Monitor incoming e-mails
• Advertise upcoming events to members
• Provide linkage with Canterbury Squash
Coaching Programmes
• Liaise with club coaches
• Coordinate group coaching programmes, for example;
- Junior after school coaching programmes
- Interclub team coaching
- Junior club night
- Graded team event coaching
- Summer fitness & technique training
- Mid week coaching and club mornings

• Advertise coaching opportunities to club members
• Collect and receipt coaching monies
Interclub
• Advertise and receive entries for interclub competitions
• Liaise with club captains
• Ensure grading list and interclub draw are made available at the club at all times

Tournaments
• Act as club contact person for all organised tournaments
• Coordinate receiving of tournament entries
• Be available to assist with tournaments where necessary
• Apply for District and National tournaments
Advertising and Promotion
• Promote club and organise at least one open day per year Sponsorship
• Increase sponsorship revenue
• Develop fundraising ideas in association with committee fundraising person
• Manage current sponsors
• Liaise with committee to organise 2-3 activities per year for extra funding

Hours
• Initially 10-15hours per week with possible expansion to 20 hours
• Salary negotiable depending on qualifications and experience EXPECTED OUTCOMES
It is expected that the administrator will:
• Establish good working relationships with club members, the committee, club coaches and linked organisations
• Facilitate the smooth running of the facility and club activities
• Communicate effectively with club members via the club website, e-mail, telephone, etc.
• Provide timely reporting and feedback to the committee on club operation, meeting its strategic planning objectives, etc.

Please note: we realise there are a lot tasks for a part-time role we would prioritise the tasks with the successful person.
